Short answer. Buy the AI that matches your email system. On Google Workspace, Claude Team or Gemini Enterprise. On Microsoft 365, Copilot. On neither, ChatGPT Business or Claude Team. Expect about $20–30 per person per month, and always buy the business tier, never personal plans, for staff.
What a small business actually needs from an AI agent
A small team doesn't need the most impressive demo. It needs four boring things:
- Admin controls. One person can add and remove users and see which apps are connected. Personal plans don't have this: ChatGPT's personal tiers have no admin console or SSO10.
- No training on your data. ChatGPT Business1, Claude Team11, Gemini Enterprise4, Microsoft 365 Copilot6 and Lindy7 all say customer data isn't used to train models.
- Approval before anything goes out. Claude asks before sending email by default12; Lindy holds actions with outside impact for approval7.
- A predictable bill. Flat seats beat credits for most teams. Manus and Lindy are credit-based and can cost more for heavy users37.
Picks by how your business runs
You run on Microsoft 365
Microsoft 365 Copilot is built into Word, Excel, PowerPoint, Outlook and Teams, drafts email and recaps meetings, and keeps prompts and responses inside the Microsoft 365 boundary6. It's sold for up to 300 users and needs a Microsoft 365 business plan6.
You run on Google Workspace
Claude Team connects to Gmail, Google Calendar and Drive and can search and draft email, create events, find mutual availability and RSVP12. Gemini Enterprise connects to Google Workspace and Microsoft 365, Jira, GitHub, HubSpot and Slack4. One catch: Workspace accounts can't buy the consumer Google AI plans13, so you buy Gemini Enterprise instead.
You live in a mix of web apps
ChatGPT Business includes ChatGPT Work, an agent for longer tasks that works across connected apps and files114. Grok Bot gives each bot its own cloud computer and uses any app or site you log it into, 24/715. That's useful for back-office work in tools with no integration.
You want an assistant that lives in Slack and runs meetings
Lindy is built for inbox triage, replies in your voice, scheduling, meeting prep, notes and follow-up, and is Slack-native7.
Research and proposals are most of the work
Manus does advanced research, slides and website deployment3; Perplexity's Comet browser summarizes across tabs, email and Slack16.

A 30-day rollout that won't backfire
- Week 1: two seats (the minimum on ChatGPT Business and Claude Team12). Connect one inbox and one calendar.
- Week 2: write down three tasks it saved real time on. If you can't, don't expand.
- Week 3: add the people who do those tasks. Keep sending, posting and paying behind a human approval.
- Week 4: review connected apps and the activity log; remove anything nobody used.
Never connect admin, banking or payroll accounts. An agent that reads email can be manipulated by what's in that email; OpenAI documents this prompt-injection risk for its own agent20.
